Tasks - improvement

We're excited to announce an upcoming enhancement to our task management system, designed with a focus on improving user experience and efficiency. Moving away from the concept of task baskets, we will introduce a more flexible and intuitive approach using boards with multiple states or columns. This new system will allow for better organization and visibility, enabling users to easily subscribe to and monitor tasks relevant to their interests or expertise.
What’s Changing?
Custom Workflows
– Practice managers can create workflows with predefined states (e.g., Open → In Progress → Closed).Automations & Notifications
– Tasks can trigger notifications with flexible subscription options ensuring the right people stay informed. The Automation Hub
will support task creation and updated workflow automation.Improved Task Management
–✅ Employees can
create, edit, and assign tasks
with details like due dates, assignees, priorities and comments. Tasks can also have multiple tags added, which will be dynamic, i.e. create the tag if it doesn’t exist.✅ Tasks can include one or more actions, initially the only action we will support is
generate a letter
. ✅ A new task
notification system
will alert users when a task requires their review. Flexible Viewing Options
–📌 A
personal dashboard
will allow users to filter and sort tasks, highlighting overdue or urgent items and will include filtration options so tasks can be tracked across multiple workflows, with particular tags, asignee etc.👀 Users will be able to
switch between list view or a Kanban-style board
, making it easier to organise tasks and do bulk actions.Claiming & Processing Tasks
–📂 Employees can
claim tasks
assigned to their team and move tasks through workflow stages.G

please link the tasks to the patient- or have an "add task" button in their chart
G
Garvan Gallagher
Renee Moran: We will be adding this, it's on the roadmap. Tasks related to a patient all have links to lauch the chart from the task currently.

Can you please add a red notification dot when we have a task assigned to us on the label that actually says "Task"? Have the notification on the right side of the screen (on the bell) is confusing and there is too many notifications showing every task that is moved from one person to another. I would like to know just when a task is assigned to me on the "Task" label itself.

This feature is almost complete - we are adding a couple changes over the next few weeks.
- ability to make a board private so only you can see it - think of it as a personal todo list
- ability to hide a board from anyone who is not currently subscribed to it

As you are working on this, I wanted to suggest allowing the ability to select multiple tasks at one time to close.
G
Garvan Gallagher
Jackson Griffeth: That's already possible. See this video https://www.loom.com/share/c478d641f1c44d1f8b03747c5ce9f297?sid=f0b1b7e5-8062-4e6a-ad4c-21353cac0afe

Garvan Gallagher Thank you! FYI, our tasks do not look like those in that video so there is perhaps and update we have not turned on yet. I'll reach out to support.

Jackson Griffeth thanks, they'll be able to do that for you. I can confirm you're still using old tasks! Thanks.

I'd love to be able to click on the bell alert that says there is a new task, and click on the actual task and have it open. OR could the alert that I have a new task just have the red bubble on the actual TASK tab, just like it does for COMMS? :)

need to be able to change what basket/board the task is in . In case they get put in the wrong basket and the team member who needs that task is not subscribed to that basket...

Garvan Gallagher Adding a simple checkbox to the tasks instead of going in to each to edit and close would be great. Thank you for working on it!

It would be very helpful if when a case closer is completed there was a different type of notification- possibly an email?
G
Garvan Gallagher
Veronica: can you tell us why this is important to you? What problem does it solve?

Garvan Gallagher I frequently assign myself tasks, so my task icon is always red. I would like another way to be notified if my patient starts so I can follow up accordingly.
